Sharing access with a team without sharing the seed
Small teams often confuse “someone else can help if I am offline” with “paste the mnemonic into the shared drive.” Those are opposite goals. Healthy sharing means operational continuity without multiplying copies of the seed.
Define roles before tools
Who can initiate a transfer? Who can approve? Who holds physical backup locations? Write names and deputies. When someone leaves, run a turnover checklist that includes reclaiming devices and rotating any shared operational credentials—not a farewell lunch and hope.
Escalate with instructions, not secrets
A deputy should know where sealed instructions live and which lawyer or founder must be present to open them. The instructions can describe retrieval steps without exposing the seed in email. Team Drill Day at Apigrid Lab practices this with staged scenarios.
Password managers are not seed vaults
We still find partial seed photographs in SaaS vaults during drills. Treat that as an incident: rotate, move offline, document the date. Add an explicit ban to your internal policy and to your copy of the Private Key Storage Checklist.
